Post Title: Administrative Officer – Timetables Main purpose of job: Responsibility for staff scheduling and to provide administrative support to the Head of Deaf First. Responsible to: Head of Deaf First Grade: NJC Scale 5 spine 22 to 25. Hours: 36 hours per week (5 days per week, times to be arranged) 40 weeks p.a. Administration (Timetables) 1 To provide administrative support to the Head of Deaf First. 2 Creating the weekly student support timetable and bulletin. 3 Maintaining records of alterations to the support timetable. 4 Deciding on daily changes to communication support arrangements for students. 5 Collating support information for the preparation of invoices and payments. 6 Preparing correspondence for Deaf First staff, attending team meetings. 7 Seeking advice from Deaf First tutors concerning student needs. 8 Maintaining confidential and general filing systems. 9 Monitoring staffing levels and advising Head of Dept of the various need 10 Check and record monthly pay claims from casual staff. 11 Recording CSW / Notetakers staff sickness and absence. 12 Maintaining the staff library of books and sign language tapes. 13 Monitor CSW Subsistance & travel budget for Deaf First. 14 Update CSW/NT handbook in consultation with the Deaf First team 15 Carry out induction for new staff (CSW/NT) 16 Assisting with the preparation of departmental events. 17 Assist with interviewing staff as required 18 Undertaking any other such duties as the Head of Department may reasonably required from time to time. 19 To support the Deaf First administrators as directed by the Head of Deaf First. 20 To have an understanding of the tasks required by the Deaf First Administrator for Finance and be able to cover any of these duties, as and when directed. Other 1. To assist with the preparation of Deaf First events eg. Open Days. 2. Forward messages to staff when required 3. To take minutes and reports for the Deaf First Dept as required. 4. Undertake general office administration and filing duties as part of the Deaf First team. 5. Attend team meetings and training sessions as required. 6. To support the administration of successful bids within the Deaf First Dept. 7. To work out term dates for admin/CSW/NT?s and publish 8. To assist in providing / planning INSET during the academic year 9. To be fully aware of and understand the duties and responsibilities arising from the Children?s Act 2004 and ?Working Together to Safeguard Children’ in relation to child protection and safeguarding children and young people as this applies to the worker?s role within the organisation. 10. To be also fully aware of the principles and the correct procedures to follow with regard to safeguarding as they apply to vulnerable adults and children in relation to all staff in the Deaf First Dept of Oak Lodge School. 11. To ensure that the Head of Deaf First is made aware and kept fully informed of any concerns the administrator may have in relation to the employees of Deaf First It is implicit that these duties are carried out in accordance with school and Council policies
